Privacy Policy

Effective date: September 30, 2026

This Privacy Policy explains how IFIX Appliance Repair LLC dba AERIA HVAC (“AERIA,” “we,” “us”) collects, uses, shares, and protects information in connection with our websites aeriahvac.com, our residential service-request site book.aeriahvac.com, and our residential refrigeration page refrigeration.aeriahvac.com (together, the “Sites”), and in connection with residential service requests. It describes what we actually do; where a practice is optional or off by default, we say so.

1. Who we are

AERIA HVAC provides residential heating, cooling, and related services in California. The legal entity responsible for the Sites and for the information described here is IFIX Appliance Repair LLC dba AERIA HVAC. Contact details are in Section 13.

2. Information you provide

When you submit a service request or contact us, we collect what you give us:

  • Name, phone number, and email address.
  • ZIP code, and a service-area assignment derived from it. If you provide a service address later in the process, we collect that too.
  • Service details you select or write: the type of help you need, what the system is doing, equipment brand, timing, and your message.
  • For a Homebuyer HVAC Assessment request: whether you are under contract, your inspection-contingency deadline, the number of HVAC systems, and whether a general home inspection report exists.
  • Photos, videos, or documents you choose to send us (for example, equipment labels), and messages you send by email, text, or phone.

You decide what to include in free-text fields and photos. Please do not send payment-card numbers or passwords through a service-request message.

3. Information collected automatically

  • Hosting and security logs. Our hosting providers keep standard server logs (IP address, browser type, requested pages, timestamps) used to operate and secure the Sites.
  • Campaign and referral details. When you arrive from an ad or a link, the landing address can include campaign identifiers (for example, source and campaign names, a Google click identifier, or an ad-click reference). Our booking site keeps these in browser session storage for your browsing session so that, if you send a request, we know which page or campaign it came from. Stored page addresses are trimmed to the page path without query strings.
  • First-party attribution cookie (limited). For selected advertising visits to aeriahvac.com, we set a first-party cookie for up to 30 minutes that retains campaign details, the original landing page, and an available ad-click reference while you navigate to booking. The first captured visit governs for that period, including across tabs; repeat page views do not extend it. This cookie does not capture anything you type into forms. The pages where this cookie can be set show a short notice near the first booking button.
  • Analytics and tag containers. Our booking site loads a Google tag, and some of our pages (including older pages of aeriahvac.com and refrigeration.aeriahvac.com) load Google Tag Manager. These Google tools can set Google cookies, collect device identifiers and usage data, and may collect information about your activity over time and across different websites, as described in Google’s own policies. Our newer aeriahvac.com pages load Google Tag Manager. Through that container, those pages load Google’s measurement tag and, on aeriahvac.com, our call-measurement script. The script can read the page address, the referring address, campaign parameters in the address, and an ad-click identifier when one is present. It may replace the phone number shown on the page with a tracking number when it classifies the visit as Google paid search and a tracking pool matches the page. A visit it classifies as direct does not match those pools. This page-view measurement is separate from a service request: submitting a request is described in Sections 2 and 6.
  • Call measurement. Some phone numbers shown on our pages are tracking numbers. When you call one, our call-measurement vendor logs the call (caller number, time, duration, and the page or campaign associated with the number) so we know which pages produce calls. If a call is ever recorded, you will be told at the start of the call; we do not treat this policy as recording consent.

4. Optional OpenAI measurement

If you check the optional ad-measurement box when submitting an HVAC service request, we send OpenAI confirmation that a request was received. The event contains a request reference number, the submission time, the booking-page address, and an available OpenAI ad-click reference. It does not include your name, phone number, email, service details, or message. The event is flagged to opt out of ad personalization. The checkbox is unchecked by default, and your choice does not affect your service request.

We keep your choice (including a “no”) and the notice version together with the accepted request. Declining this optional sharing does not remove the ordinary campaign details saved with your request under Section 3.

5. How we use information

We use the information described above to:

  • Respond to your request, confirm scope, and schedule and perform service.
  • Prepare estimates, contracts, reports, and other service documents.
  • Communicate with you about your request and related service.
  • Keep business records, including records the law requires us to keep.
  • Measure which pages and campaigns produce requests and calls, and improve the Sites.
  • Prevent fraud and abuse, protect our rights and safety, and comply with legal obligations.

We do not use your service-request information to build advertising profiles of you, and we do not send your form contents to advertising platforms.

6. How we share information

We do not sell your personal information. We share it only as described here:

  • Service providers working for us. We use vendors to operate: website and database hosting, our field-service/CRM system, transactional email delivery, an internal team-notification service, and call/lead measurement. These providers receive what they need for their function — for example, our CRM and dispatch tools receive your contact details and request; our lead-measurement vendor receives contact details, ZIP, and campaign identifiers (not your message text). Service providers are authorized to use the information only to provide services to us.
  • Advertising measurement. We send limited conversion signals to advertising platforms so we know which ads work: a Google Ads conversion tied to a request reference for certain requests, and — only if you opt in — the OpenAI event described in Section 4. These signals identify a request, a time, and a click reference; they do not include your name, phone, email, or message.
  • Legal and safety. We disclose information if required by law or legal process, or when reasonably necessary to protect rights, safety, or property.
  • Business transfers. If AERIA is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.

7. Text messages, calls, and email

If you provide your phone number with a service request, we may call you and send you text messages about your request and related service — for example, confirmations, scheduling, and follow-up on the work you asked about. Message frequency varies with your request; message and data rates may apply. Reply STOP to a text from us to stop further texts; reply HELP or contact us (Section 13) for help. We will not sign you up for a recurring marketing-text program without a separate, clearly identified opt-in, and we do not currently operate one. We do not share your mobile number or your texting consent with third parties for their own marketing.

Service emails relate to your request or project. If we ever send marketing email, it will identify us and include a working unsubscribe.

8. Retention

We keep personal information as long as reasonably necessary to provide the service, keep required business and contract records, resolve disputes, and enforce agreements. Session storage described in Section 3 lasts for the browser session; the 30-minute lifetime in Section 3 applies only to that cookie. Clearing your browser does not delete details already saved with an accepted service request; those records follow the criteria above.

9. Security

We use reasonable administrative, technical, and physical safeguards appropriate to a business of our size, including access limits and encrypted connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Your choices and rights

  • Access, correction, deletion. You can ask us what contact and request information we hold about you, ask us to correct it, or ask us to delete it. Write to the contact in Section 13; we will verify that the request comes from the person the information is about and respond within a reasonable time. Some records must be kept by law (for example, contract and accounting records), and we will tell you if that applies.
  • Cookies and storage. You can block or clear cookies and site data in your browser. Blocking may affect how pages work.
  • Do Not Track and Global Privacy Control. Our Sites do not currently respond to “Do Not Track” or Global Privacy Control browser signals. The measurement we run is described in Sections 3–4, and the OpenAI event only ever fires on your explicit opt-in.
  • California residents. We do not sell personal information, and we are a small business: California Consumer Privacy Act obligations apply to businesses above certain size thresholds, which we do not currently meet. We honor the requests described in this section voluntarily for everyone.

11. Children

The Sites are directed to adults arranging services for homes. We do not knowingly collect personal information from children under 13. Service requests should be submitted by adults.

12. Third-party sites

The Sites link to third-party websites (for example, review platforms). Their privacy practices are their own; review their policies before providing information.
